Terms & Conditions

1. Acceptance of Terms
By engaging EventRepublic (operating under Avance Maldives Pvt Ltd) for services, equipment rental, or event production, you agree to be bound by these Terms & Conditions. Any variations to these terms must be agreed in writing by both parties.

2. Rental Period & Charges
All equipment is charged on a daily basis unless otherwise specified in the contract.

Rental periods begin from the date of delivery or collection and end on the date of return or pick-up.

Late returns may incur additional charges at the standard daily rate.

3. Confirmation & Payment
Work commences only after written confirmation (email or signed contract) and receipt of a 35% advance payment.

The remaining balance is due before or on the day of service, as specified in the contract.

Payments can be made via bank transfer or other methods agreed in writing.

4. Damage & Responsibility
The client assumes full responsibility for all rented equipment and property from the time of delivery until the time of return or collection.

Any loss, theft, or damage to equipment (including accidental damage) shall be charged to the client for repair or replacement at full market value.

Equipment must be returned in the same condition as received, normal wear and tear excepted.

5. Cancellations
Cancellations must be communicated in writing.

For cancellations made less than 30 days before the event, the full contract amount shall be payable.

During festive seasons (as defined by EventRepublic), advance payments are non-refundable and events cannot be canceled.

If work is less than 90% complete at the time of cancellation, refunds or partial refunds may be discussed on a case-by-case basis.

6. Weather & Force Majeure
If an event is canceled or postponed due to weather or other unforeseen circumstances, and work is 90% or more complete, full charges shall apply unless otherwise stated in the contract.

EventRepublic shall not be held liable for delays, non-performance, or damages resulting from circumstances beyond our reasonable control, including but not limited to: acts of nature, government actions, travel disruptions, or supplier failures.

7. Incomplete Work
If any work is not completed as requested before the final invoice, it must be discussed and agreed in writing between both parties before payment is made.

EventRepublic reserves the right to invoice for work completed if the client unreasonably delays or prevents completion.

8. Delivery, Setup & Collection
Delivery, setup, and collection times will be agreed in advance and specified in the contract.

Any changes to delivery or setup requirements must be communicated in writing as early as possible.

The client is responsible for providing safe, accessible site conditions for delivery, setup, and operation.

Additional charges may apply if site conditions require extra time, labor, or equipment beyond what was originally quoted.

9. Equipment Operation
All equipment shall be operated only by EventRepublic personnel unless otherwise agreed in writing.

Unauthorized operation, modification, or misuse of equipment by the client or third parties voids all responsibility and may result in additional charges for damage or repair.

10. Third-Party Vendors
Where EventRepublic engages third-party vendors on behalf of the client, we act as an intermediary. While we select vendors carefully, we are not liable for the direct acts or omissions of those vendors.

The client remains responsible for payment for all third-party services arranged on their behalf.

11. Liability
To the fullest extent permitted by law, EventRepublic’s total liability for any claim arising from our services shall not exceed the total contract value paid by the client.

EventRepublic shall not be liable for indirect, incidental, or consequential damages, including loss of revenue, reputation, or opportunity.

12. Intellectual Property
All designs, concepts, and creative materials developed by EventRepublic remain our intellectual property unless otherwise agreed in writing.

The client is granted a non-exclusive license to use delivered materials for the specific event for which they were created.

13. Photography & Media
EventRepublic reserves the right to photograph, record, or document our work for promotional, portfolio, and marketing purposes unless the client explicitly requests otherwise in writing before the event.

14. Governing Law
These Terms & Conditions shall be governed by and construed in accordance with the laws of the Republic of Maldives.

Any disputes arising shall be subject to the exclusive jurisdiction of the courts of the Maldives.

15. Amendments
EventRepublic reserves the right to update or modify these Terms & Conditions at any time. The version in effect at the time of contract signing shall apply.
